This Privacy Policy explains how MemberCrest (“we”, “us”, or “our”) collects, uses, and shares information when organizations and individuals use the MemberCrest platform and related websites.
1. Information we collect
We may collect:
- Account and profile details such as name, email address, and organization information
- Member roster data uploaded or entered by club administrators
- Billing and subscription metadata related to your MemberCrest plan
- Usage logs, device information, and diagnostics needed to operate and secure the Service
- Payment-related information processed by Stripe when dues or tickets are collected
2. Stripe payment handling
Payment card data for membership dues, event tickets, and platform subscriptions is handled by Stripe. MemberCrest does not store full payment card numbers on its servers. Stripe may receive billing details, transaction amounts, and identifiers needed to process charges and Connect payouts. Stripe’s privacy policy governs its processing of payment data.
When a club connects a Stripe account, payout and account status information may be synced to MemberCrest so administrators can confirm that dues collection is ready.
3. How we use information
We use information to:
- Provide, maintain, and improve the Service
- Process subscriptions and facilitate member/event payments through Stripe
- Send transactional messages such as invitations, receipts, and billing notices
- Protect against abuse, fraud, and security incidents
- Comply with legal obligations
4. Sharing
We share information with service providers that help us operate MemberCrest (for example hosting, email delivery, and Stripe). We do not sell personal information. Club administrators control member data within their workspace and may export or delete records according to product features and applicable law.
5. Data retention
We retain account and workspace data for as long as your organization maintains an active MemberCrest account and for a reasonable period afterward to support backups, dispute resolution, fraud prevention, and legal compliance. Payment records and invoices may be retained longer where required for tax, accounting, or financial regulations.
When an organization closes its workspace, we delete or anonymize Customer Data within a commercially reasonable timeframe, except where retention is required by law or necessary for legitimate business interests such as security logs. Stripe may independently retain transaction records according to its own retention policies.
6. Security
We use administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your choices
Organization admins can update workspace settings and member records in-product. Individuals may contact their club administrators or MemberCrest support to request access, correction, or deletion where applicable under local privacy laws.
